Our busy office is currently accepting applications to fill the role of Secretary within our customer service department. The successful candidate will perform skilled clerical work, and provide general secretarial support to department administrators. The Secretary will be responsible for assisting with departmental payroll, maintaining financial records and facilitating communication among company departments. This position is ideal for someone who is motivated, able to prioritize work assignments as they come in, and capable of working without supervision.

SECRETARY DUTIES AND RESPONSIBILITIES

  • Welcomes clients and potential clients by greeting them in person or on the telephone, answering or directing inquiries.
    • Ensures that all contacts with clients (e-mail, walk-In center, SMS or phone) provide the client with a personalized customer service experience of the highest level
    • Through interaction with clients on the phone, uses every opportunity to build client’s interest in the company’s products and services
    • Manages administrative duties assigned by the creative director in an effective and timely manner
    • Consistently stays abreast of any new information on the organizations’ products, promotional campaigns, etc. to ensure accurate and helpful information is supplied to clients when they make inquiries
    • Hold the switchboard
    • Check the documents sent to the Director
    • Keep the director’s agenda and organize the schedules
    • Prepare and organize trips
    • Manage mail, prepare response items
    • Ensure the material organization of meetings
    • Manage orders
    • Ensure photocopies and different sorting and filing / archiving activities
    • Carry out commercial documents and operations due to collection
    • Relaunch unpaid bills
    • Enter and save the entries
    • Track payment of invoices;
    • Complete all tax declarations
    • Create payslips

TRAINING / SKILLS AND QUALITIES

The candidate must hold at least an advanced level in secretarial duties or an equivalent certificate and have a minimum of two (0)2 years experience in a similar position.

.Use office word processing tools and spreadsheets (Word, Excel, PowerPoint, etc.);
• Use accounting management software
• Organize effectively;
• Summarize, take notes;
• Communicate well in French and English;

• Master the filing and archiving techniques.
